About the Role
The Office of the Director of Public Prosecutions seeks a Principal Office Administrator for its Nairobi headquarters. This is a full-time position within Kenya’s national prosecuting authority, established under Article 157 of the Constitution to prosecute criminal cases across the country. The Principal Office Administrator will oversee administrative operations and provide high-level secretarial support to senior leadership.
This role requires someone with substantial experience in office administration, proven capability in managing complex secretarial functions, and a strong understanding of institutional procedures. The successful candidate will be responsible for coordinating administrative workflows, managing correspondence, and ensuring efficient office operations across departments.
Key Responsibilities
- Manage administrative operations and coordinate office workflow to support the Director and senior management
- Provide advanced secretarial services including document processing, scheduling, and correspondence management
- Maintain confidentiality of sensitive prosecution-related materials and institutional records
- Coordinate communication between departments and external stakeholders
- Oversee filing systems, databases, and documentation procedures
- Prepare minutes, reports, and administrative briefing materials for leadership meetings
- Manage office resources and liaise with support services to maintain operational standards
Requirements & Qualifications
- Bachelor’s Degree in Secretarial Studies, Social Science, Business Office Management, or equivalent from a recognised institution, OR a Higher Diploma in Secretarial Studies from KNEC or recognised equivalent
- Minimum nine years’ work experience in a comparable administrative or secretarial position within the public or private sector, OR at least three years at Senior Office Administrator level
- Typewriting III (minimum 50 words per minute) or Computerized Document Processing III
- Shorthand III (minimum 120 words per minute) and Business English III or Communication II
- Certificate in Computer Applications and Certificate in Senior Management Course (minimum four weeks) from a recognised institution
- Certificate in Secretarial Management Course from a recognised institution and membership of Kenya National Secretaries Association
- Compliance with Chapter Six of the Constitution of Kenya 2010 regarding integrity and leadership standards
