About the Role

Human Rights Agenda is seeking a Front Office & Executive Assistant to join its Nairobi office on a full-time basis. This position combines reception management with senior-level executive support, requiring someone who can balance stakeholder relations with complex administrative coordination. You will be the public face of the organization while also managing the operational demands of the Chief Executive Officer’s schedule and communications.

The successful candidate will work across multiple departments and external partners, including donors, government agencies, and international consultants. Key Responsibilities

  • Welcome visitors, partners, donors, and external stakeholders at the reception area, maintaining a professional atmosphere and ensuring appropriate routing to staff
  • Manage the CEO’s calendar, schedule appointments and meetings, coordinate meeting logistics, and prioritize requests from multiple stakeholders
  • Answer, screen, and route incoming calls and emails; manage visitor sign-in procedures and ensure timely follow-up on inquiries
  • Prepare, proofread, and revise executive correspondence including briefing notes, speeches, reports, and presentations for the Chief Executive Officer
  • Arrange all domestic and international travel for the CEO, including flights, accommodation, ground transport, visa support, and detailed itineraries
  • Handle receipt, logging, distribution, and tracking of incoming and outgoing mail, parcels, and courier deliveries
  • Facilitate communication and coordination between the CEO, Board of Directors, staff teams, donor organizations, and government counterparts
  • Track assignments and deadlines issued by the CEO, follow up on progress, and report on implementation status
  • Maintain office supplies inventory, manage stationery orders, and ensure the reception area remains organized and presentable
  • Support filing systems and records management in accordance with organizational policies and data protection standards

Requirements & Qualifications

  • Bachelor’s degree in Business Administration, Office Administration, Public Administration, Secretarial Studies, Communications, Social Sciences, or related discipline
  • Minimum two years of relevant experience in executive or administrative support roles, ideally within the NGO or international development sector
  • Fluent in written and spoken English and Kiswahili
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms such as Zoom or Teams
  • Demonstrated ability to organize complex schedules, manage competing priorities, and meet deadlines with limited supervision
  • Strong interpersonal skills and professional demeanor when engaging with board members, donors, government officials, and diverse external stakeholders
  • Proven commitment to confidentiality and the ability to handle sensitive organizational information with discretion
  • Excellent written and verbal communication skills, with attention to detail in correspondence and documentation
