About the Role
Mission for Essential Drugs and Supplies (MEDS) is recruiting an Accountant – Projects to join its finance team in Nairobi on a full-time basis. This role is central to maintaining accurate financial records, managing project budgets, and ensuring all accounting activities comply with United States Government (USG) donor guidelines and regulatory requirements. The position offers hands-on involvement in project financial management within a nonprofit healthcare supply organisation.
The Accountant – Projects will report directly to senior finance management and work across multiple project budgets. You will oversee daily accounting transactions, vendor relationships, staff advances, and audit preparation while ensuring that project spending remains aligned with approved budgets and donor regulations. This is an accounting position suitable for someone with solid technical knowledge of financial compliance and experience working in donor-funded environments.
Key Responsibilities
- Prepare DA1 forms by typing, printing, and maintaining the VAT log on a daily basis; communicate with vendors regarding approved DA1s; track refund requests and receipt transactions; and update donors regularly on refund status to guarantee timely and accurate processing.
- Work with project teams to ensure the project budget is aligned with the work plan, verifying that planned activities match the funds allocated for their execution.
- Review supporting documents and prepare payment vouchers, bank transfer instructions, and cheques for authorisation; stamp all supporting documentation to maintain financial accuracy and regulatory compliance.
- Track staff travel advances by notifying relevant staff of payment deadlines and advance liquidation requirements; maintain consistent follow-up to ensure timely settlement and compliance with financial policies.
- Examine receipts and vouchers to confirm all required supporting documents are present; verify the accuracy of expenses and assess their reasonableness, eligibility, and appropriateness in line with organisational and donor policies.
- Obtain vendor statements of accounts, reconcile them against project records, and resolve any outstanding or long-overdue invoices to maintain accurate vendor files.
- Reconcile debtor and staff accounts to verify that all advances have been properly expensed and that refunds have been correctly receipted in the financial system.
- Provide required documentation and information to internal and external auditors to facilitate the audit process and maintain transparency in financial reporting.
- Maintain a well-organised, sequential filing system for all payments—both in physical form and on the shared drive—to ensure documents are readily accessible for daily operations and audit purposes.
- Submit monthly stock holding declarations for Dawa Za Ubora commodities to the insurance company in compliance with reporting obligations.
- Review staff timesheets and allocate costs to appropriate program areas to ensure accurate cost distribution across the budget.
Requirements & Qualifications
- Bachelor’s degree in Accounting, Finance, or a closely related field.
- Minimum CPA III or CPA Advanced Level certification, or an equivalent professional accounting qualification.
- At least three years of professional experience in finance and accounting roles.
- Demonstrated working knowledge of USG Rules and Regulations governing donor-funded projects.
- Prior experience working in nonprofit or non-governmental organisations is a significant advantage.
- Proficiency in preparing and processing financial documents including vouchers, payment instructions, and reconciliations.
- Ability to maintain accurate records and manage multiple vendor relationships simultaneously.
