About the Role
Corporate Staffing Services is recruiting an Administrative Assistant Job (50K) for a leading international construction and engineering firm expanding operations across Kenya. This full-time position is based in Nairobi and reports directly to the Regional Head. The successful candidate will take ownership of office administration, logistics coordination, facilities management, and employee support services for a multinational organisation managing large-scale infrastructure, general contracting, and steel structure projects.
This Administrative Assistant Job role demands a highly organised professional who can operate independently in a multicultural environment while managing competing priorities. You will be the backbone of office operations, handling everything from vendor negotiations and workspace planning to staff welfare coordination and asset management. The position requires someone with solid administrative experience in a construction or engineering setting, strong attention to detail, and the ability to work with government agencies, service providers, and internal stakeholders.
Key Responsibilities
- Manage day-to-day administrative operations for the Nairobi office, including policy development, procedure implementation, and workflow improvement aligned with local regulations and company standards.
- Support office establishment and expansion activities, including site selection, vendor negotiations, contract administration, and workspace planning to ensure efficient working environments.
- Coordinate administrative support services for employees, covering accommodation arrangements, travel bookings, visa processing, work permits, and ticketing.
- Arrange logistics and administrative coordination for visiting executives, clients, and project stakeholders, including scheduling and event support.
- Prepare, monitor, and control administrative budgets, reviewing procurement requests for office supplies, equipment, and operational requirements to ensure expenses remain within approved limits.
- Oversee management of office assets including equipment, furniture, company vehicles, and accommodation facilities, maintaining accurate records and ensuring proper utilisation and maintenance.
- Coordinate staff welfare initiatives such as accommodation, medical support, meal arrangements, and employee transportation, and process travel reimbursements and related expenses.
- Manage company vehicle scheduling, servicing, repairs, fuel usage, and compliance monitoring while maintaining relationships with service providers, landlords, suppliers, and government agencies.
- Support the organisation of corporate events, management meetings, staff engagement activities, and VIP visits, ensuring compliance with local laws and company requirements.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Public Administration, Human Resource Management, or a related field.
- Minimum 3 years of hands-on experience in office administration, facilities management, or administrative operations.
- Demonstrated experience working in construction, engineering, or multinational environments (preferred but not essential).
- Strong working knowledge of Kenyan laws, regulations, and administrative procedures.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Proven experience managing budgets, office assets, logistics, and operational workflows.
- Ability to travel for business purposes when required.
- Fluency in spoken Chinese is advantageous.
