Nova Pioneer is in search of an exceptional School Receptionist to join our Tatu Girls School. This presents a unique opportunity to become a part of a progressive network of schools dedicated to cultivating a new generation of innovators and leaders who will shape the African Century. The selected candidate must be prepared to commence their role with us in January 2024.

Role Overview

  1. Embrace the Nova Culture.
  2. Undertake various clerical and administrative tasks associated with school program management.
  3. Manage incoming and outgoing phone calls on the school’s telephone lines.
  4. Arrange meetings in alignment with the Principal’s schedule.
  5. Handle front office public relations tasks, including school emails and ClassDojo communications.
  6. Prepare documents in advance of internal meetings as directed by the Principal, such as photocopying, binding, and filing.
  7. Prepare documents for external meetings as instructed by the Principal.
  8. Organize and display documents on internal pinboards or notice boards.
  9. Respond to routine correspondence and send out scheduled communications.
  10. Maintain attendance registers for students and confidential documents on behalf of the Principal, regularly updating Edadmin.
  11. Oversee the management of learning and teaching materials.
  12. Perform any additional duties as assigned by your manager.

About You

  • A Bachelor’s degree or Diploma in Office Administration; HR knowledge and skills are a plus, and knowledge of operations management is desirable but not mandatory.
  • 2-3 years of experience in Front Office Management, preferably in an established startup, a large company, or a school.
  • Proficiency in using Google software such as Google Calendar, Docs, Sheets, and Gmail, as well as Microsoft Office tools like Word, Excel, and PowerPoint.
  • Proficiency in the Microsoft Office suite with strong writing skills for office communication, including the ability to create posters and certificates.
  • Strong organizational, planning, and time management skills, with the ability to manage multiple tasks while maintaining high standards.
  • Analytical abilities to tackle complex situations and solve problems.
  • Excellent communication skills, both written and verbal, enabling effective communication with leaders and the school team.
