IT & Office Admin Officer at Fanisi HR Solutions – Fanisi HR Solutions Kenya Job Details

  • Our client is a leading advisory firm specializing in strategy, corporate finance, market entry, research, and training for clients across Africa. They seek to hire an IT & Office Admin Officer who will play a crucial role in managing their IT infrastructure providing general office administrative support to ensure the smooth functioning of their organization.

Key Roles and Responsibilities:

  • Provide support to the implementation of ICT strategies and new technologies in accordance with corporate information management and technology standards guidelines and procedures
  • Implementation of the ICT work plan
  • Provide IT support in the use of systems for improved business results and improved client services.
  • Provide technical support in the functioning of the office hardware and software;
  • Make routine repairs and change hardware electronic components
  • Provide technical support to the installation and maintenance of all communication systems including mobile and satellite phones.
  • Maintain an up-to-date inventory hardware.
  • Provide technical support to the installation of corporate software and related upgrades.
  • Ensure efficient network administration
  • Configure network printers and provide user access as required.
  • Monitor the network daily to ensure a stable and responsive network environment.
  • Provide administrative regarding ICT issues
  • Provide ICT support to key events
  • Research and retrieval of data from internal and external forces
  • Provide technical support and advice to staff
  • Support staff with troubleshooting hardware, application software, operating systems, networking and other computer related issues
  • Meet all ICT on-boarding requirements for new staff.

Logistical coordination and administrative support;

  • Provide administrative support to program and staff and other functions including scheduling appointments making travel arrangements and managing calendars.
  • Manage the procurement process for project and organizational supplies and services, adhering to organizational procurement policies and procedures.
  • Coordinate logistics arrangement for projects and organizational activities including venue booking, travel arrangements and procurement of necessary supplies
  • In close liaison with the program manager, support the coordination of key programs events, meetings workshops

Procurement and vendor management

  • Prepare and review, and document procurement plans and document
  • Monitor and record suppliers schedule ie delivery, pending items and oversee office stock management
  • In close collaboration with the finance and operations manager support in the development of tender documents such as terms of reference, contract management
  • Ensure the smooth administration operational running of the office including day-day needs
  • Manage relationships with all global compact network Kenya supplies including ensuring contracts are completed and up to date and payments are made on time, and the ICT support security and cleaning services are performing their jobs to the level required.
  • Contribute to knowledge building and knowledge sharing in the office.
  • Facilitate knowledge building and knowledge sharing
  • Synthesize lessons learned and best practices in ICT
  • Contribute to the organizations for the training for the staff on ICT issues

Executive Office Administrative Support

  • Working closely with executive directors, undertake board meeting scheduling ensuring board packs and other relevant materials are availed on time.
  • Provide logistics support for the organization of board retreats, workshops and staff events amongst others
  • Support in scheduling of staff interview packs, booking meeting rooms
  • Review and propose improvement to administrative processes.
