JOB DESCRIPTION
Role Overview: Reporting to the National Accountant and with functional oversight from the Finance and Operations Manager, the incumbent will be responsible for providing comprehensive accounting services to the organization. This entails accurately recording, tracking, and managing all incoming financial resources. The primary objective is to ensure that these resources are effectively utilized to fulfill the organization’s core mission of constructing and refurbishing homes, thus enabling families to reside in decent housing and thriving communities.
Responsibilities:
- Collaborate with the National Accountant to prepare supplier payments, ensuring correct coding of expenses to accurate ledger accounts, donor budget lines (DBLs), and project codes.
- Verify accuracy in the recording of journals into the Financial Management System for review and subsequent posting by the Finance and Operations Manager.
- Manage petty cash, ensuring prompt disbursement and replenishment in adherence to policy guidelines.
- Stay informed about local government financial accounting regulations, ensuring compliance with tax regulations and legal requisites.
- Implement internal control processes and adhere to donor requirements in all transactions and disbursements.
- Assist in tracking and reporting expenses and revenue for projects such as the Foster Family Foundation.
- Contribute to the development of the annual budget and monitor expenditure against the budget through monthly budget versus expenditure analysis.
- Assist the National Accountant in conducting the month-end and quarterly close process, including project account consolidation, reconciliations, revaluation, and financial statement preparation.
- Offer guidance on financial policies and procedures to non-finance staff, promoting best practices in all accounting activities.
- Ensure meticulous documentation standards, including forms, support documents, and proper filing systems (both physical and electronic).
- Assist in preparations for year-end and project audits, providing all necessary documentation.
- Fulfill any other tasks directed by your supervisor.
Performance Measures:
- Timely and accurate recording of transactions in the Sun System.
- Prompt replenishment and reconciliation of petty cash.
- Timely filing and settlement of statutory returns (e.g., Withholding tax).
Qualifications:
- University Degree in Accounting, Finance, Commerce, or Business Administration, coupled with a minimum of CPA Part I or Certified Public Accountant Kenya Part III Graduate (CPA K).
Required Knowledge, Skills, and Abilities:
- Proficiency in various accounting systems such as SunSystems, Microsoft Dynamics Navision, and QuickBooks.
- Ability to train and support field program staff in accounting matters.
- Effective communication skills in written and verbal English, as well as the national language.
Experience:
- At least 3 years of mid-level experience in a busy accounting environment, preferably within an NGO or Not-For-Profit sector.
