About the Role

The successful candidate will manage logistics, documentation, and day-to-day administrative activities across the organisation’s field locations.

Key Responsibilities
- Manage procurement requests and follow-ups with field team leads to ensure supplies and services are ordered for PBIDS 2.0 activities across Kisumu, Nairobi, Isiolo, and additional Detect sites.
- Verify that all delivered goods and services meet specifications and quality standards, then cross-reference invoices against physical deliveries before processing payment.
- Maintain and update stock database records to track inventory movements, including both stock received and stock issued.
- Review invoices and bills submitted from field offices and assist in their verification prior to authorisation for payment.
- Contribute to the preparation of project budgets relating to supplies, workshops, conferences, participant reimbursements, and transport requests.
- Document vehicle mileage for project vehicles, monitor maintenance schedules, and maintain up-to-date maintenance reports.
- Attend project meetings and prepare necessary written communication and correspondence for field team distribution.
- Support the overall functioning of administrative operations within the department and address additional assignments from your supervisor as required.
Requirements & Qualifications
- Diploma in Business Administration, Management, Fleet Management, Public Administration, Purchasing and Supplies Management, or an equivalent qualification from a recognised institution (mandatory).
- Proficiency in computer applications, including Microsoft Office and database software (mandatory).
- Demonstrated planning and organisational skills with ability to manage multiple priorities (mandatory).
- Strong written and verbal communication skills with the ability to produce clear reports and correspondence (mandatory).
- Solid interpersonal skills and ability to work effectively with diverse stakeholders across multiple sites (mandatory).
- Team-oriented approach with capacity to contribute collaboratively to departmental objectives (mandatory).
