About the Role

Riana Group is seeking an Operations Assistant to join its operations and compliance team in Nairobi on a full-time basis. This position exists to deliver administrative support across day-to-day operational and compliance activities, ensuring smooth execution of business processes and contract management responsibilities. The role combines financial record maintenance, contract administration, procurement coordination, and client support functions in a structured, deadline-driven environment.

If you hold a bachelor’s degree in finance, accounting, economics, administration, or a related field, with at least two years of experience in operations, compliance, contract management, or accounting, this Administration job in Nairobi offers the chance to work directly with multiple business functions. You will manage contracts, track procurement orders, maintain billing cycles, and coordinate between teams to ensure compliance with contractual obligations.

Key Responsibilities

  • Maintain and update financial records in compliance with organizational policies and audit requirements.
  • Draft, review, and manage contracts including non-disclosure agreements, joint venture agreements, sales agreements, and lease/AMC contracts; track renewal deadlines and ensure adherence to contract terms.
  • Establish and maintain databases for clients, warranties, AMCs, and lease agreements; prepare weekly and monthly renewal status reports.
  • Monitor local purchase order (LPO) fulfillment with support and project teams; maintain monthly open LPO reports with follow-up actions and ensure accurate billing cycles.
  • Coordinate preventive maintenance (PM) follow-ups with the support team to guarantee timely and accurate AMC billing and contract compliance.
  • Manage the BDT system for contract, LPO, warranty, and billing cycle tracking; assist in QSYS license issuance and VMS SMS bundle recharge coordination from quote approval through billing.
  • Support clients with contract-related inquiries and issue resolution; facilitate creation of new clients in Zoho Desk and track project handovers with warranty setup verification.
  • Organize and file contracts, invoices, job cards, handovers, and legal documents both physically and digitally; prepare reports on contract renewals, procurement activity, and financial transactions.

Requirements & Qualifications

  • Bachelor’s degree in finance, accounting, economics, administration, or a related discipline.
  • Minimum two years of professional experience in finance, accounting, operations, compliance, or contract management.
  • Proficiency with financial data entry and analysis; understanding of basic financial principles and contract management processes.
  • Demonstrated ability to manage multiple tasks simultaneously with strong time management and organizational skills.
  • Excellent written and verbal communication in English; ability to prepare clear reports and communicate with internal teams and external clients.
  • Detail-oriented approach to accuracy in financial records, contract clauses, and billing cycles; analytical and problem-solving skills to identify discrepancies and recommend process improvements.
  • Ability to work both independently and collaboratively; demonstrated track record of contributing to business profitability and competitive performance.
