About the Role
Excelon Limited is recruiting for a Receptionist to join its Nairobi office on a full-time basis. This position sits at the heart of our front office operations, requiring someone who can manage visitor interactions, phone communications, and administrative tasks with equal competence. The Receptionist at Excelon Limited will be the first contact for clients, partners, and staff, setting the tone for how our organisation is perceived.
Administration jobs in Nairobi demand reliability and professionalism in equal measure. You will oversee day-to-day front desk functions while supporting broader office coordination efforts. This is a hands-on role that requires someone comfortable switching between greeting visitors, processing mail, scheduling meetings, and managing databases throughout the day.
Key Responsibilities
- Receive and welcome all visitors to the office, assess their requirements, and direct them to the relevant department or staff member
- Answer incoming calls on multi-line systems, screen callers appropriately, and route calls to the correct extension or department
- Manage office security protocols by tracking visitor arrivals and departures, issuing visitor badges, and maintaining accurate access logs
- Sort, organise, and distribute incoming mail, parcels, and packages to designated departments and individuals daily
- Coordinate meeting room bookings using digital calendars and arrange appointments for staff and external stakeholders
- Handle general clerical duties including filing records, photocopying documents, scanning materials, and updating office databases
- Respond to routine enquiries received via telephone and email with clear, professional communication
- Occasionally assist with arranging travel bookings and accommodation for staff when required
Requirements & Qualifications
- High school diploma or equivalent qualification as a minimum educational requirement
- Proven work experience in a receptionist, front office, or customer-facing role
- Proficiency with Microsoft Office Suite including Word, Excel, and Outlook
- Demonstrated experience operating multi-line phone systems and standard office equipment such as printers and photocopiers
- Strong verbal and written communication skills with the ability to correspond clearly via email and telephone
- Excellent organisational skills and the ability to manage multiple priorities simultaneously without losing accuracy
- Professional demeanor with the ability to handle visitor enquiries and complaints with courtesy and patience
- Additional training or certification in office administration is advantageous but not required
