About the Role
Pathfinder International seeks an Executive Assistant to VP, Strategic Engagement & Innovation to provide senior-level administrative support to the Vice President and the Strategic Engagement & Innovation (SEI) leadership teams. This full-time position is based in Kenya and serves a core function within the organization’s international development and donor-engagement operations. You will work directly with the VP and coordinate across multiple departments including Individual Giving, Lighthouse, Communications, and External Engagement, acting as a trusted operational partner who ensures the department runs with precision and accountability.
This is an Administration in Kenya role that demands strong judgment, discretion, and the ability to manage competing priorities in a complex, multicultural environment. You will report directly to the Vice President and play a central role in enabling strategic initiatives through meticulous planning, stakeholder coordination, and follow-through on organizational commitments.
Key Responsibilities
- Manage the VP’s calendar and those of SEI leadership, scheduling appointments with internal and external stakeholders while balancing organizational priorities and strategic alignment.
- Prepare agendas, pre-briefing materials, and action item follow-ups for high-level internal and external meetings.
- Serve as the primary point of contact between the VP, SEI teams, and stakeholders, ensuring responsive and timely communication.
- Plan, coordinate, and execute complex international and domestic travel itineraries, including flight arrangements, accommodation, ground logistics, and expense management.
- Lead event logistics for donor meetings, stakeholder visits, and in-house functions, including venue selection, agenda development, hospitality arrangements, and coordination with communications and fundraising teams.
- Process and reconcile expense reports, invoices, and contracts in compliance with organizational policy; maintain organized records and knowledge-management systems to support departmental accessibility and efficiency.
- Prepare materials for Board of Directors meetings, donor engagements, and governance-related events; track deliverables and deadlines to ensure accountability and follow-through.
- Respond quickly to last-minute changes and troubleshoot logistical challenges with minimal disruption to operations.
Requirements & Qualifications
- Bachelor’s degree in Office Administration, Communications, International Relations, Secretarial Studies, or a related field.
- Minimum 3–5 years of progressively responsible administrative and executive support experience with C-level executives, senior leadership, or Board governance in an international or multicultural organization.
- Demonstrated experience managing complex calendars, travel logistics, high-level meetings, and handling confidential information.
- Proven track record liaising with senior stakeholders, including donors, board members, government officials, and partner organizations.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, Zoom, SharePoint); familiarity with expense reporting systems such as Concur is advantageous.
- Strong written and verbal communication skills; ability to draft correspondence, reports, and presentations with accuracy and professionalism.
- High level of discretion, integrity, and confidentiality when managing sensitive matters.
- Independent, resourceful problem-solver with the ability to anticipate needs and take initiative; strong interpersonal skills and capacity to interact effectively across organizational levels and cultures.
Preferred Qualifications
- Three or more years of experience supporting executive-level management.
- Professional training or certification in Executive Assistance, Project Management, or Office Administration.
- Background working in a non-profit organization or international development sector.
- Fluency in French, Portuguese, or Amharic.
