Job Description
AMI is seeking a highly driven and capable Executive Assistant to support the CEO and senior leadership team. This role sits at the center of organizational operations, enabling leadership to operate efficiently and focus on strategic priorities. Beyond traditional administrative duties, the position involves acting as a trusted partner, requiring strong initiative, attention to detail, and excellent communication and coordination skills.
Key Responsibilities
CEO Support
- Manage and optimize the CEO’s schedule to ensure alignment with organizational priorities
- Anticipate needs proactively, prepare relevant materials in advance, and address challenges before they arise
Board Coordination
- Oversee all aspects of board meeting coordination, including scheduling, documentation, and logistics
- Support the CFO in maintaining accurate and well-organized records of board decisions and action points
Strategic Support
- Work closely with the CEO and senior leadership to support strategic initiatives
- Collaborate with the COO to enhance cross-functional communication and alignment
- Conduct research and analysis to inform decision-making processes
Meetings & Communications
- Coordinate key leadership meetings by preparing agendas and ensuring timely distribution of materials
- Record and circulate meeting minutes, tracking action items through to completion
- Review and refine reports, presentations, and documents for various audiences
- Develop clear and engaging communications in collaboration with leadership
Calendar & Scheduling
- Manage complex calendars for senior leaders, prioritizing tasks and coordinating meetings efficiently
Travel Coordination
- Organize travel arrangements, including itineraries, accommodation, and logistics for executives
Expense Management
- Assist senior leaders with expense reporting and ensure timely submission
Requirements
- Bachelor’s degree from a recognized institution or equivalent professional experience
- At least 5 years of experience as an Executive Assistant in a fast-paced environment
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities, with adaptability across audiences
- Proficiency in office tools and modern collaboration platforms
- Ability to remain composed and effective under pressure
- Self-driven with the ability to take ownership of responsibilities
- High level of integrity and discretion when handling confidential information
