We are looking for a Virtual Assistant to help out in our daily business operations by performing various administrative tasks including answering emails, scheduling meetings and organizing business-related processes and files. Our ideal candidate will be working remotely, and is expected to be highly independent and detail-oriented as the division leaders will rely on your administrative and operational abilities to improve workflow.

Objectives of this role:

  • Primarily responsible for providing assistance to the division leaders with regards to administrative, operational and other tasks
  • Optimizing efficiency across the division

What you will work on:

  • Manage administrative tasks, data updates, and communication channels to ensure efficient operations within the division assigned
  • Contribute to process improvement projects, identifying areas for optimization and implementing necessary changes
  • Handle correspondence, respond to emails, and interact with clients, partners, or team members on behalf of the division leaders
  • Provide support in organizing and updating relevant data, files and documents, ensuring accuracy and completeness
  • Conduct research projects related to the division assigned, providing valuable insights
  • Assist in managing and posting content on social media and other platforms
  • Assist in content creation, including drafting documents, blog posts, or reports
  • Provide customer support by responding to inquiries, resolving issues, and maintaining a positive customer experience
  • Perform daily tasks that require immediate attention, ensuring prompt resolution of urgent matters
  • Attend meetings as required, actively participating and documenting discussions when necessary
  • Perform additional tasks as required to contribute to the smooth functioning of the admissions consulting team

Our ideal candidate:

  • Has fluent English communication skills (reading/ writing / speaking)
  • Has excellent time management, organizational, and multitasking, and decision-making skills 
  • Has excellent interpersonal skills to communicate, interact, and work with different levels of management and individuals 
  • Is highly detail-oriented, resourceful and self-independent individual who can work with minimal supervision 
  • Must be comfortable working remotely and supporting staff from different time zones
  • Is highly proficient in Google Suite, Microsoft Office, Skype, Slack, and other project management tools like Trello, Asana, etc.
  • Experience as a Virtual Assistant at an international company is an advantage
  • Experience as a Personal / Executive / Virtual Assistant for a company executive is an advantage
  • Experience in the field of education is an advantage

Work hours:

  • 20 to 40 hours/week
  • Note: There are multiple Virtual Assistant openings within the company, some are part-time and some full-time. Applications will be assessed accordingly and so it will be helpful to indicate your usual availability in your cover letter.
  • Working remotely, but must be available for certain meetings within our business hours (10am-7pm Japan Standard Time)
