Job Summary

The HR Intern will work under the guidance of the HR & Administration Coordinator to provide support in personnel files administration. The scope of work will involve compiling, processing, registering and organizing documentation relating to employee records.

Responsibilities

  • Create, maintain, and update personnel files as per organisation personnel file checklist.
  • support with various HR activities such as orientation, on-boarding of new employees and any ad-hoc requests.
  • Ensure each personnel file is complete with all mandatory information.
  • File sequentially all documents for ease of reference.
  • Mark and label personnel files for easy retrieval.
  • Maintain employee personnel files and records so they remain updated and easily accessible.
  • Filling of HR documents in accordance with applicable laws and regulations.
  • Support in retrieving HR documents and information during audit reviews.
  • Maintain proper control of employees’ records making sure all pertinent documents are filed.
  • Close and archive personnel files for employees who have left the organisation.
  • Printing and photocopying documents that may be missing, to be placed in personnel file.

Other duties:

  • Assist in recruitment such as screening resumes and scheduling interviews with shortlisted candidates.
  • Assist in coordinating on-boarding and orientation activities for new hires.
  • Provide any other HR administrative support as requested.
  • Participates and assists in organisation of HR events.
  • Any other tasks as may be assigned.

Qualification:

  • University graduate in Human Resource Management.
  • Computer literacy: proficient in MS applications, E-mail and internet.
  • Fluency in written and oral English language
  • Familiarity with office procedures and general filing principles.

Skills:

  • Must maintain strict confidentiality of records and information.
  • Good oral and written communication skills
  • Excellent organizational and planning skills
  • Working knowledge of office devices and processes.
  • Ability to learn and acquire new knowledge and skills.
  • Demonstrated interest in and commitment to children.
