Job Brief: We are seeking a dedicated Receptionist to serve the public by welcoming visitors in person, as well as managing phone and email communications. This role includes making appointments, providing information, and guiding the movement of people and visitors within our facility.

Responsibilities:

  • Effectively manage incoming and outgoing calls through the centralized Head Office Switchboard.
  • Handle walk-in clients professionally.
  • Update the monthly status of Temporary Door Passes.
  • Maintain cleanliness of the reception lobby, trophy, and cabinets.
  • Order stocks such as drinking water and toiletries timely to avoid shortages.
  • Ensure telephone lines are in good working order and coordinate with the Global Information Systems Officer for any service or maintenance needs.
  • Ensure all electrical appliances (lights, bulbs, switches, etc.) at the reception are functional and arrange for necessary maintenance.
  • Oversee the work of the cleaning service provider’s personnel.
  • Ensure that licenses and work permits displayed at the reception are up to date.

Minimum Qualifications:

  • Diploma or Bachelor’s degree in Business Studies or Secretarial studies.
  • At least 2 years of experience in a busy front office or Customer Service Centre.
  • Willingness to learn new things and step outside the comfort zone.
  • Strong written and verbal communication skills.
  • Ability to multitask efficiently.
  • Proficiency in computer use.
