Job Summary:
The primary objective of this position is to ensure the smooth operation of the Front Office. This involves handling telephone calls and customer inquiries promptly and professionally. Additionally, the role includes performing administrative tasks for the Transport Section.
Roles and Responsibilities:
- Managing switchboard duties, including overseeing the answering machine to ensure a continuous 24/7 response during after-hours, weekends, and holidays.
- Welcoming and assisting visitors at the Reception area and controlling access to the East Wing using the secure access system.
- Handling all incoming emails related to the British High Commission (BHC) through the Nairobi Enquiries inbox.
- Supervising the petty cash/advance system for the transport team.
- Maintaining records, including both electronic and paper filing.
- Assisting in managing transport bookings and creating the daily transport schedule in consultation with the Transport Planner.
- Handling procurement tasks, including requisitioning and receiving responsibilities for the Transport Section.
- Administering billing and payments for shuttle services and private hire of official vehicles within the section.
- Assisting in processing taxi invoices and conducting pre-audits of taxi vouchers before forwarding them for payment.
- Performing other administrative duties as assigned by the Transport Manager, Corporate Services Director, and Deputy Director of Corporate Services.
Essential Qualifications, Skills, and Experience:
- Minimum of 2 years of experience in a similar administrative role.
- Strong IT and communication skills.
Desirable Qualifications, Skills, and Experience:
- Previous experience in reception and switchboard activities.
- A degree in a business-related field.
