Position Overview:

We are seeking a detail-oriented Human Resource Intern to bolster our Human Resources department’s record-keeping practices. This internship is tailored for individuals looking to gain specialized experience in HR record management, ensuring data integrity, confidentiality, and compliance with established protocols.

Key Responsibilities:

  1. Record Organization: Classify, label, and categorize HR documents for easy retrieval.
  2. Digitization: Scan and upload physical HR documents into BambooHR, ensuring accuracy and clarity.
  3. Data Integrity: Verify the accuracy and completeness of employee records in the system.
  4. Confidentiality: Adhere to strict confidentiality protocols, ensuring sensitive HR data is protected.
  5. Compliance: Familiarize oneself with and adhere to record retention policies and other related regulatory requirements.
  6. Archiving: Assist in the archiving process of outdated records.
  7. Audit Preparation: Support in preparing documents and records for internal or external audits.
  8. Process Improvement: Provide suggestions on streamlining and improving the record-keeping process.
  9. Database Management: Assist in maintaining and backing up the HRIS or other related systems.

Requirements and Qualifications:

  • Current student or recent graduate from a bachelor’s degree in human resources, Business Administration, Organisation Development, or related field.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency with Microsoft Office Suite and familiarity with database management.
  • Ability to handle confidential information with utmost discretion.
  • A proactive approach to problem-solving.
  • Familiarity with digital scanning equipment and software is a plus.
