Key Responsibilities
- Handle all visitors and enquiries at the reception desk.
- Manage visitors’ appointment schedules.
- Welcome and serve refreshments to clients and visitors.
- Maintain a contact list for all clients and/or visitors.
- Undertake switchboard duties; answer and manage all telephone calls in a courteous and professional manner, redirect calls to the intended recipients, respond to general enquiries, take and relay messages for members of staff.
- Receive, acknowledge, sort and distribute all incoming and outgoing mail and documents.
- Record and dispatch all outgoing mail.
- Manage the boardroom and meeting rooms bookings.
- Ensure the reception area, meeting rooms, and boardroom are always neat and clean.
- Represent the firm in a modest and professional manner.
- Typing or drafting correspondence.
- Perform any other duty assigned by the Supervisor in line with the Administrative Assistant role.
Qualifications
- Must have a relevant Bachelor’s Degree.
- Must have not more than one year of experience in Front Office Management.
- Must have excellent communication skills.
- A positive attitude and strong interpersonal skills.
- Ability to prioritize work and manage time effectively.
- Excellent organizational skills.
- Proficiency in MS Office.
- Honest, trustworthy, and experienced handling multicultural clientele.
- High level of organization, multitasking, and timeliness.
- Experience working in a busy and fast-paced environment.
