  1. Warmly greet and assist visitors, providing necessary directions and maintaining up-to-date employee and department directories.
  2. Efficiently manage the switchboard by answering calls courteously, directing them to the appropriate individuals, and taking messages for absent employees.
  3. Address phone inquiries from customers and provide support to other staff members within the organization.
  4. Handle the collection, distribution, and dispatch of parcels and mail.
  5. Schedule meetings and appointments.
  6. Uphold a clean and secure reception area, adhering to all established procedures, rules, and security protocols.
  7. Collaborate with the cleaning staff to ensure a clean, organized, and dust-free office environment conducive to work.
  8. Establish and maintain a well-organized filing system, ensuring safe storage and easy retrieval of office documents.
  9. Contribute to the team’s efforts by providing support services to the technical department, which may include preparing quotations, proposals, work schedules, handover documents, maintenance agreements, schematic drawings, and more.
  10. Operate various office equipment such as photocopiers and computers.
  11. Ensure the proper functioning of equipment by completing preventive maintenance, arranging for repairs, managing equipment inventories, and evaluating new equipment and techniques.
  12. Manage office supplies inventory by monitoring stock levels, anticipating supply needs, placing orders, and verifying supply deliveries.
  13. Assist in payment follow-up and tender preparation.
  14. Prepare coffee for visitors and set out food as needed.
  15. Perform any other duties as assigned.


  • Diploma in Business Administration.
  • Certificate in Computer Operations, including proficiency in MS Office Packages and email communication.
  • Additional skills in Customer Service and Marketing (an added advantage).
  • Strong oral and written communication skills.
  • Methodical, accurate, and neat work habits.
  • Ability to collaborate effectively within a team.
  • Capacity to comprehend technical information.
  • Basic knowledge of computer maintenance and graphic design.
  • Basic accounting skills.
