Position Overview:
- We are seeking a proactive and detail-oriented Bookkeeper & Office Manager to join our team. This role also includes supporting grant proposal writing and evaluation. The successful candidate will maintain accurate financial records, ensure smooth office operations, and contribute to the development of funding proposals.
Key Responsibilities:
Bookkeeping Duties:
- Maintain accurate financial records for all transactions (income, expenses, etc.).
- Reconcile bank accounts, credit cards, and petty cash.
- Assist in preparing monthly/quarterly financial reports (income statements, balance sheets).
- Manage invoicing and ensure timely payment collection from clients.
- Ensure tax compliance (VAT, PAYE, NSSF, NHIF) and maintain proper tax documentation.
Office Management Duties:
- Oversee daily office operations, including supplies, scheduling, and equipment maintenance.
- Handle communication (calls, emails) and ensure smooth flow of information with clients, suppliers, and staff.
- Ensure office compliance with necessary licenses and legal requirements.
Grant Proposal & Evaluation Support:
- Assist in identifying potential funding opportunities and researching relevant grants
- Track the implementation of funded projects, monitor spending, and ensure reports meet grant requirements.
- Help prepare progress reports and ensure compliance with donor guidelines.
Required Skills & Qualifications:
- Education: Diploma or degree in Accounting, Finance, Business Administration, or related field.
- Experience: 2-3 years in bookkeeping, office management, or a related field. Experience with grant writing or evaluation is a plus.
Skills:
- Proficiency in accounting software (QuickBooks, Sage, etc.).
- Strong organizational and multitasking abilities.
- Excellent communication skills (written and verbal).
- Knowledge of Kenyan tax regulations and payroll.
- Grant writing and donor reporting experience is a plus.
Additional Skills:
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Ability to work independently and in a team.
- Strong attention to detail and proactive work approach.
Additional Requirements:
- Location: Must be based in Nairobi, Kenya, and work from the office 5 days a week.
- Work Hours: Monday to Friday, 9:00 AM to 6:00 PM (flexibility required at times based on business needs).
