JOB SUMMARY (PURPOSE OF POSITION)

Responsible for processing of financial transactions, maintaining financial records of the organization, providing adequate accounting information, ensuring compliance with financial policies, systems and procedures, maintain accounting controls, proper custody of financial records, and safeguarding the assets of the organization.  

MAJOR DUTIES AND RESPONSIBILITIES

Financial Management

  • Support the   implementation of, and ensure adherence to financial management policies, systems and procedures.
  • Provide technical input in the programs budgeting process
  • Assist in the preparation and monitoring of corporate budgets.
  • Assist in the preparation of monthly and annual books of accounts and records in a timely manner for annual and special audits.
  • Assist in the coordination of external audit and lead the response to issues raised in the management letter.
  • Provide support in audit of projects when necessary.
  • Maintain an accurate and up to date fixed asset register for the organization.
  • Assist in providing technical support in financial management to management, membership and partners.
  • Assist in building the capacity of staff in financial management and reporting

Processing of Financial Transactions

  • Ensure cheques, payment of vouchers and any supporting source/transaction documents are approved and authorized.
  • Verify all payments for accuracy and ensure amounts are within budget provisions before submission for approval.
  • Verify staff returns from the field for accuracy, completeness and genuineness including receipts and any vouchers submitted by impress holders when retiring advance/imprest
  • Process and make payments to creditors.
  • Invoicing debtors and receiving payments on behalf of the organization.
  • Carry out banking activities as designated.
  • Prepare monthly cash and bank reconciliations and follow-up on outstanding issues in a timely manner.
  • Assist in preparation of monthly cash-flow statement.
  • Participate and assist in internal and external audits
  • Ensure that all assets including the equipment and vehicles are insured, renewed when appropriate and all claims are followed up for compensation.

Financial Records

  • Maintain up to date financial records in respect to all financial transactions.
  • Carry out daily reconciliation on financial transactions captured in the financial records and update in the accounting system.
  • Address issues and queries that arise from financial transactions without undue delay.
  • Make sure that accounting documents are correctly filed and securely kept.

Statutory Deductions

  • Effect and make timely remittance of statutory deductions to relevant authorities by the due dates (e.g. PAYE., NHIF, NSSF, HELB, Provident Fund etc)
  • Compile annual and periodic returns as per requirements and directives and forward the same to the relevant statutory and government departments to ensure compliance.

Knowledge, Skills and Abilities

 (The knowledge, skills and abilities may be acquired through a combination of formal schooling, self-education and prior experience or on-the-job-training).

Level of Education

  • Bachelor’s degree in accounting

Specialized Training/Professional Qualifications

  • CPA II

Competencies/Abilities/Skills Required

  • Strong analytical skills
  • Strong interpersonal skills
  • Excellent computer skills including proficiency in accounting packages such as Quick-books, Pastel etc.
  • Strong report writing skills
  • Strong coordination skills
  • Auditing skills

 Job experience:

Minimum 5 years relevant experience
