About the Role

The University of Nairobi is recruiting a Project Administrative Assistant for a full-time position based in Nairobi. You will be responsible for maintaining project documentation, managing schedules, and ensuring compliance with institutional and funding body requirements.

Key Responsibilities

  • Provide administrative support to project grant management activities, including documentation, correspondence, and budget tracking.
  • Coordinate project operations across University of Nairobi departments, liaising between project teams and leadership to ensure timely delivery of objectives.
  • Maintain accurate and current employee records in both physical and digital formats, ensuring strict confidentiality and compliance with applicable data protection legislation.
  • Manage and update an electronic database of postgraduate research projects, including project timelines, milestones, and associated training schedules.
  • Prepare project reports, meeting minutes, and administrative correspondence as required by project coordinators and supervisors.
  • Monitor project schedules and alert relevant parties to upcoming deadlines or required submissions.
  • Perform additional administrative duties as assigned by supervisors or project leadership.

Requirements & Qualifications

  • Bachelor’s degree in Social Sciences, Humanities, Business Management, Project Management, Office Management, or a related discipline, plus a minimum of two (2) years of experience in program implementation within Human Resources.
  • Alternatively, a Diploma in Management, Accounting, Project Management, Office Management, or a related field, combined with at least five (5) years of experience working in large-scale program implementation environments.
  • Proficiency in word processing applications and spreadsheet software, with advanced skills in Microsoft Excel.
  • Strong organisational and time management abilities, with the capacity to manage competing priorities.
  • Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.
  • Clear written and verbal communication skills in English.
