Virtual Assistant Job
We’re seeking a highly organized, proactive, and reliable Virtual Assistant to join our fast-growing remote team at Staffinity. You will act as the administrative backbone of our operations — supporting our internal team and external clients with daily tasks, project coordination, communication, and organizational upkeep.
This is a full-time, long-term position that offers the chance to work with a dynamic international team helping companies scale faster through remote staffing. You’ll work in a digital-first, process-driven environment where reliability, clarity, and initiative are highly valued.

What We’re Looking For
- We are looking for a Virtual Assistant who is:
- Exceptionally organized and process-driven
- A strong communicator in English (written and verbal)
- Proactive — you don’t wait for instructions, you anticipate needs
- Skilled in using digital tools like Google Workspace, Notion, Slack, Trello, and Zoom
- Capable of handling multiple tasks and deadlines without breaking a sweat
- Comfortable working independently but also a team player
- Has prior experience as a VA, Executive Assistant, or similar admin/support role
- Bonus: Familiarity with CRM tools, LinkedIn, or outreach tools
Key Responsibilities
- Inbox and Calendar Management
- Schedule meetings, manage time zones, send reminders
- Keep inboxes clean and organized with filters and labeling systems
- Client & Team Communication
- Respond to inquiries, send follow-ups, and maintain professionalism across channels
- Help onboard new clients or team members
- Administrative Support
- Organize documents, update trackers, take meeting notes
- Create, update, and maintain SOPs and internal documentation
- Project Coordination
- Assist with task management, keep timelines updated, and nudge the team to hit milestones
- Keep Notion, Trello, or ClickUp boards up to date
- Research Tasks
- Perform competitor research, tool comparisons, or list-building tasks as needed
- Source candidate profiles or lead lists based on clear criteria
- Data Entry & Reporting
- Maintain internal databases, organize spreadsheets, and assist with performance tracking
- Provide summaries or data insights to support decision-making
- Tool & Account Management
- Help manage logins, permissions, and account updates for key team tools
