Job Purpose

To provide professional front office and customer care services by warmly welcoming patients, clients, and visitors, handling inquiries, and ensuring efficient communication and administrative support at the reception.

Key Responsibilities

  • Greet and receive all patients, clients, and visitors in a professional and courteous manner.
  • Manage telephone calls promptly, direct inquiries to the right departments, and relay accurate messages.
  • Register patients, verify personal details, and update hospital records in line with hospital procedures.
  • Guide patients through hospital processes including consultation, admission, billing, and discharge.
  • Ensure proper handling and filing of patient documents and maintain confidentiality at all times.
  • Manage appointment bookings and coordinate with relevant departments for scheduling.
  • Handle billing queries, issue receipts, and liaise with the finance/accounts team on payments.
  • Maintain a clean, organized, and welcoming reception area that reflects the hospital’s values.
  • Resolve client concerns or escalate them to the appropriate personnel when necessary.
  • Support administrative duties including filing, correspondence, and data entry as assigned.
  • Uphold the hospital’s mission of holistic, quality, and compassionate care in all interactions.

Qualifications and Experience

  • Diploma in Front Office Operations, Business Administration, Customer Service, or related field.
  • Training in customer care and hospital management systems is an added advantage.
  • At least 2 years’ experience in a busy hospital or healthcare front office/reception role.
  • Proficiency in computer applications (MS Office, hospital information systems).
  • Must be an Seventh-day Adventist
