Our client is a well established and reputable audit firm in Nairobi. They are looking to recruit an organized and proactive Front Office/Admin Assistant.

Key Responsibilities:

  • Maintain a clean, neat and welcoming office environment
  • Front Office Reception: Answer and place telephone calls promptly, efficiently, and courteously and transmit messages accurately
  • Receive clients and visitors in the office in a professional and friendly manner
  • Schedule appointments, conferences and meetings with clients for the office staff
  • Update and maintain appointment calendar for the office staff
  • Handle and route incoming and outgoing mail
  • Maintain reception area, including conference rooms
  • Bind documents for delivery to clients
  • Under guidance prepare letters/memos for the auditors for delivery to clients
  • Input new client information and maintain client information database
  • Handle client complaints, provide appropriate solutions and alternatives within the given time frames and follow up to ensure resolution
  • Maintain organized filing and scanning of correspondence, billing as well as business and individual files
  • Manage office inventory such as stationery, equipment, furniture and ensure timely requisition.
  • Any other task as allocated

Required Skills & Qualifications

  • Diploma in Business Administration or related field of study
  • Atleast 2 years’ experience in admin/ front office in a professional environment
  • Ability to perform administrative duties with speed and accuracy without immediate and constant supervision
  • Ability to execute assignments of a confidential nature and to keep matters confidential
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management systems and procedures.
  • Good communication and interpersonal skills
  • Presentable
