Key Responsibilities:

  • Administrative Support:
    • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Draft, review, and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
    • Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely responses.
  • Meeting and Event Coordination:
    • Plan, organize, and coordinate meetings, conferences, and special events, including logistics, agenda preparation, and follow-up actions.
    • Attend meetings with the CEO, take detailed minutes, and ensure action items are tracked and completed.
  • Project Management:
    • Assist in the planning and execution of strategic initiatives and projects led by the CEO.
    • Coordinate cross-functional teams and ensure project milestones and deadlines are met.
  • Stakeholder Liaison:
    • Act as the primary point of contact between the CEO and internal/external stakeholders.
    • Represent the CEO in communications and meetings, ensuring alignment with the CEO’s vision and objectives.
  • Office Management:
    • Maintain the executive office environment, ensuring it is organized and equipped for optimal efficiency.
    • Oversee budget and expenses related to the executive office, including processing invoices and managing expense reports.
  • Research and Analysis:
    • Conduct research and compile information on various topics as requested by the CEO.
    • Analyze data and provide insights and recommendations to support decision-making.
  • Confidentiality and Discretion:
    • Handle sensitive information with the highest level of confidentiality and integrity.
    • Exercise discretion in managing the CEO’s personal and professional matters.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5-7 years of experience in an executive assistant or similar role, preferably in a corporate environment.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and collaboratively within a team.
  • High level of integrity and professionalism.
  • Keen attention to detail and strong problem-solving abilities.
