Executive Assistant / PA at Homart Kenya – Homart Kenya Kenya Job Details
Key Responsibilities:
- Administrative Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Draft, review, and edit correspondence, reports, presentations, and other documents on behalf of the CEO.
- Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely responses.
- Meeting and Event Coordination:
- Plan, organize, and coordinate meetings, conferences, and special events, including logistics, agenda preparation, and follow-up actions.
- Attend meetings with the CEO, take detailed minutes, and ensure action items are tracked and completed.
- Project Management:
- Assist in the planning and execution of strategic initiatives and projects led by the CEO.
- Coordinate cross-functional teams and ensure project milestones and deadlines are met.
- Stakeholder Liaison:
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Represent the CEO in communications and meetings, ensuring alignment with the CEO’s vision and objectives.
- Office Management:
- Maintain the executive office environment, ensuring it is organized and equipped for optimal efficiency.
- Oversee budget and expenses related to the executive office, including processing invoices and managing expense reports.
- Research and Analysis:
- Conduct research and compile information on various topics as requested by the CEO.
- Analyze data and provide insights and recommendations to support decision-making.
- Confidentiality and Discretion:
- Handle sensitive information with the highest level of confidentiality and integrity.
- Exercise discretion in managing the CEO’s personal and professional matters.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of 5-7 years of experience in an executive assistant or similar role, preferably in a corporate environment.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and collaboratively within a team.
- High level of integrity and professionalism.
- Keen attention to detail and strong problem-solving abilities.
