Position Overview:
We are seeking to recruit an Admin Assistant to join our team. The Admin Assistant will play a key role in ensuring the support of the various departments to enhance their performance. The candidate must have a deep understanding and experience in procurement, fleet management, and Office administration.
DUTIES AND RESPONSIBILITIES
General Administrative Support:
- Â Manage day-to-day office operations.
- Â Handle correspondence, phone calls, and scheduling.
- Â Assist in coordinating meetings and appointments.
- Â Ensure general office cleanliness
Procurement Support:
- Â Collaborate with the procurement team on purchase orders and vendor management.
- Â Maintain accurate records of procurement transactions.
- Â Assist in researching potential suppliers and products.
Logistics Services:
- Â Coordinate logistics and supply chain activities.
- Â Work with logistics partners to ensure timely deliveries.
- Â Monitor and track shipments, updating relevant stakeholders.
- Â Implement systems for tracking fuel consumption and vehicle maintenance.
- Â Coordinate with relevant departments to ensure timely vehicle servicing.
- Â Monitor and report on fuel efficiency and maintenance schedules.
Customer Service:
- Â Address customer inquiries and resolve issues promptly.
- Â Maintain positive customer relationships.
Data Entry and Documentation:
- Â Accurately input data into relevant systems.
- Â Maintain organized and up-to-date records.
- Â Preparing relevant daily, weekly, and monthly reports.
QUALIFICATIONS
- Â Minimum of a Diploma in Procurement, Human resource management, Business administration, finance or any other relevant course.
- Â One (1) year of relevant experience.
- Â Experience working with an ERP system.
- Â Experience in fleet management.
- Â Report writing skills
- Â Proficiency in using Microsoft Excel, Google Drive
- Â Ability to adapt in a high-paced environment
