About the Role

Human Rights Agenda is recruiting a Front Office & Executive Assistant to join its Nairobi office on a full-time basis. This is a key administrative position supporting the Chief Executive Officer and serving as the organizational gateway for visitors, partners, donors, and external stakeholders. The role combines reception management with high-level executive support, requiring someone who can manage competing priorities while maintaining professionalism under pressure.

The Front Office & Executive Assistant at Human Rights Agenda will be instrumental in ensuring smooth day-to-day operations at the organization’s headquarters. You will work across multiple departments and external relationships, requiring strong organizational skills, discretion, and the ability to represent the organization’s values consistently.

Key Responsibilities

  • Receive and greet all visitors, partners, donors, consultants, and stakeholders, maintaining a welcoming and professional reception environment
  • Manage the CEO’s calendar, coordinate appointments and meetings, and handle all scheduling adjustments and conflicts
  • Organize domestic and international travel for the Chief Executive, including booking accommodation, arranging itineraries, and managing all logistical details
  • Screen, route, and respond to incoming calls, emails, and correspondence, ensuring urgent matters receive prompt attention
  • Prepare, revise, and finalize executive correspondence including reports, presentations, speeches, and briefing notes on behalf of the CEO
  • Process all incoming and outgoing mail, courier deliveries, and official documents, maintaining accurate records and tracking systems
  • Facilitate communication and coordination between the CEO, Board members, internal staff, donors, government agencies, and external partners
  • Monitor and follow up on assignments and deadlines delegated by the CEO to ensure on-time completion
  • Order, track, and manage office supplies and stationery; maintain inventory and ensure the reception area is well-organized and efficient
  • Support procurement processes and administrative procedures in line with organizational policies
  • Maintain organized filing systems and records management in accordance with best practices
  • Handle sensitive and confidential organizational information with integrity and discretion

Requirements & Qualifications

  • Bachelor’s Degree in Business Administration, Office Administration, Public Administration, Secretarial Studies, Communications, Social Sciences, or a closely related field
  • Minimum two years of verified experience in executive or administrative support roles, with preference given to candidates from the NGO or development sector
  • Fluent written and verbal communication in English and Kiswahili
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms
  • Proven ability to organize complex schedules, manage multiple tasks concurrently, and meet strict deadlines with minimal supervision
  • Professional interpersonal skills and demonstrated ability to interact respectfully with diverse stakeholder groups at all levels
  • High standards of integrity, confidentiality, and professional conduct
