Java House is recruiting a Sales Data Clerk to join its team in Nairobi on a full-time basis. This position sits at the core of sales operations, managing the accurate capture, organisation, and maintenance of all sales-related information. The Sales Data Clerk ensures that customer records, transaction documentation, and sales figures remain reliable, accessible, and properly reconciled across systems and supporting paperwork.
This is a clerical and administrative role within the Sales & Marketing function. You will work closely with the sales and accounts teams, handling order processing, data entry, record management, and the preparation of routine sales summaries. Accuracy and attention to detail are essential, as errors in data entry or record-keeping can impact business reporting and customer relations.
Key Responsibilities
- Verify the correctness of sales entries, invoices, and payment receipts against source documents
- Maintain well-organised sales records and databases, ensuring all information is current and retrievable
- Compile routine sales reports and summaries for internal stakeholder review
- Cross-check recorded sales figures with supporting documentation to identify and resolve variances
- Flag and report any data gaps, missing records, or discrepancies to supervisors
- Process incoming customer orders received via email, phone, or LPO (Local Purchase Order), ensuring prompt and accurate entry into the system
- Monitor the status of pending and completed orders, providing updates to relevant teams
- Coordinate order confirmation details, verify pricing alignment, and confirm product availability with the warehouse or suppliers
- Assist the sales and accounts teams with ad-hoc data requests and reporting support
- Handle filing, storage, and archival of sales documentation in accordance with company policy
- Uphold strict confidentiality protocols and maintain data integrity standards at all times
Requirements & Qualifications
- Certificate or Diploma in Business, Accounting, IT, or a related discipline
- One year of prior experience in data entry, sales administration, or general clerical work (advantageous but not mandatory)
- Proficiency with spreadsheet and database software, particularly Microsoft Excel
- Ability to enter data quickly and accurately, with a low error tolerance
- Strong organisational skills and the capacity to manage multiple tasks concurrently
- Clear written and verbal communication skills in English
- Familiarity with sales order processing and invoicing practices is beneficial
