Role Summary:

The incumbent supports the Operations Manager in efficiently managing human resources and ensuring the smooth execution of administrative functions.

Key Duties and Responsibilities:

  1. Administrative Support:
    • Perform, coordinate, and oversee various administrative tasks to manage the Operations Manager’s workload, enhance efficiency, and execute business plans.
  2. Recruitment and Selection:
    • Develop and manage job adverts, assist in shortlisting candidates, schedule and participate in interviews, and oversee the hiring process.
  3. Employee Onboarding:
    • Assist new employees with contracting, coordinate the orientation program with the hiring unit, and ensure their seamless integration into the company.
  4. Employee Relations:
    • Address inquiries regarding HR policies and procedures, handle staff concerns, coordinate staff engagement programs, and record staff feedback for continuous improvement.
  5. Leave Management:
    • Track staff attendance, process leave applications, maintain leave records, and update staff on leave balances.
  6. Performance Management:
    • Assist staff with performance evaluation processes, provide feedback, and maintain performance records.
  7. Training and Development:
    • Coordinate and schedule staff learning and development programs and maintain training records.
  8. Policy Development and Implementation:
    • Assist in developing and implementing HR policies and procedures, ensuring compliance with legal requirements and best practices.
  9. Payroll and Benefits Administration:
    • Assist with payroll processing, maintain related employee records, and manage employee benefits programs.
  10. Records Management:
    • Maintain accurate and complete HR and employee records, ensuring safety and confidentiality.
  11. Facility Licensing and Insurance:
    • Establish and maintain a record of all required facility licenses and insurance policies, coordinating timely renewal processes.
  12. General Administrative Tasks:
    • Manage office supplies, coordinate travel arrangements, and organize company events.
  13. Reporting:
    • Prepare and submit dynamic reports to the Supervisor.
  14. Additional Duties:
    • Perform any other duties as assigned by the Supervisor.

  • Familiarity with Kenyan Labor Laws.

  • Degree in Human Resource Management or Business Administration.
  • Certified Human Resource Professional (CHRP) qualification is an added advantage.
  • Minimum of three (3) years’ HR experience; health sector experience preferred.
  • Member of the Institute of Human Resources Management (IHRM) with a valid practicing license.
  • Advanced knowledge of MS Office Suite (Excel, Word, PowerPoint, and Outlook) and the Internet.
