The Admin Assistant/Secretary will provide comprehensive administrative support, which includes scheduling meetings, responding to routine correspondence, prioritizing responses, maintaining filing systems, and ensuring the availability of office supplies. This role involves handling general office duties required in a legal setting, such as transcribing and formatting documents, business correspondence, and general secretarial tasks.
Key Responsibilities:
- Greet and assist clients and visitors
- Draft documents and handle routine correspondence
- Manage telephone calls and schedule appointments
- Maintain and organize records and data related to each file
- Coordinate office and boardroom meetings
- Update and maintain contact lists
- Oversee office materials, including stationery and supplies
- Compile reports, including expense reimbursement reports and other data
- Perform tasks such as printing, copying, proofreading, etc.
- Complete additional duties as assigned
Skills & Experience:
- Diploma in Secretarial Studies or Business Administration
- 2-3 years of experience as a secretary or administrative assistant
- Proficiency in MS Office and document management (filing/archiving)
- Strong written and verbal communication skills in English
- Excellent presentation skills and ability to maintain professional networks
- Ability to prioritize tasks, demonstrate initiative, and meet deadlines
- Professional appearance and conduct
- Flexible and open-minded personality, with attention to accuracy
- High level of integrity and ability to handle confidential information
